All admitted students who are non-Japanese must obtain a student visa to legally enter the country and study at KUAS. A COE is a document that is necessary to apply for a student visa (i.e., official permission to stay in Japan as a student). Please check which category you fall under (I or II), and follow the instructions provided.

Note: If you think you may have Japanese heritage, please make sure to check with your parents if you also have Japanese nationality and, if so, follow the instructions for category II. There have been cases in the past where students were unaware of their Japanese nationality which caused delays in coming to Japan.

Schedule for Prior to Coming to Japan

Please see the following general schedule for new KUAS students prior to coming to Japan.
Important notices will be posted on the Admitted Students homepage under “New Updates” in addition to being sent to students by email.

May

  • Fill out the Application for COE (Certificate of Eligibility) and Online Document Submission Form
  • Collect COE application documents
  • Submit COE Information Form and clear scans/photos of application documents

June

  • Receive emails from the International Liaison Office regarding information confirmation and/or document resubmission (if necessary)
  • Resubmission of information/documents (if necessary)
  • Send all COE application documents to KUAS by post

July

  • Receive COE from the International Liaison Office as an official email
  • Apply for your student visa at the Japanese embassy/consulate in your home country
  • Receive student visa (affixed to a page in your passport)
  • Purchase airline ticket to Japan
  • Update the International Liaison Office to confirm you have received your visa and share your flight details

August

  • Students staying in university accommodations (i.e., dormitories) should fly to Japan shortly before your dormitory move-in date and before the start of the required Post-Arrival Guidance sessions (arriving at Kansai International Airport or Osaka International Airport)
  • Students staying in NON-university accommodations (e.g., private apartments, etc.) should to fly to Japan sometime during the dormitory move-in period and before the start of the required Post-Arrival Guidance sessions (arriving at Kansai International Airport or Osaka International Airport)
  • All students must attend all the required Post-Arrival Guidance sessions (information provided later)
Application Procedure

How to Enter Japan as a KUAS Student

You must submit COE application documents first as digital scans/photos with the Application for COE (Certificate of Eligibility) and Online Document Submission Form. Once the documents have been confirmed to be sufficient by the International Liaison Office, you will need to post the original documents to the International Liaison Office.

Important Notes

  • All documents must be in either English or Japanese.
  • All documents must be issued after April 1, 2025.
  • If an official version is not available in English or Japanese, please submit the original along with a certified English or Japanese translation.
1. Application for COE (Certificate of Eligibility) and Online Document Submission Form

Overview

The primary document required for your COE application is the Application for COE (Certificate of Eligibility) and Online Document Submission Form. We ask all students to submit their answers through Microsoft Forms. The International Liaison Office will use this data to apply for your COE. This Form contains personal information, education and work history, and information about financial support among other topics. Please fill out all parts of the Form completely and honestly. If the Immigration Services Agency finds discrepancies or untruths in your application, your application may be delayed or rejected.

Notes

  • If you were selected to receive a scholarship from KUAS, please include the value of that scholarship in your response to the relevant questions.
  • Please be careful of typos. Misspellings or errors can affect the processing time of your application.
2. Passport

Overview

The International Liaison Office will submit a copy of your passport along with your COE Application for personal identification purposes and to verify your citizenship. Please submit a clear image (not blurry, no glare, etc.) of your passport photo page.

Notes

  • Students who have multiple citizenships should only submit a copy of the passport which they will use to enter Japan and should be sure to keep this consistent in all paperwork for the COE and for Admissions. This will also be the nationality that will be listed on your Residence Card.
  • Please make sure that all text on the photo page is clearly visible, including the passport number and Machine Readable Zone (MRZ).
  • Passport cards, digital passports, etc. are not acceptable.

3. Photograph

Explanation

You must submit a photo of your face for use on your Residence Card. The requirements for this photo are very strict.

Notes

  • Wherever possible, please submit the original file data of a digital photograph, NOT a photo or digital scan of a photo on paper.
  • Do not edit or doctor your photo in any way other than trimming it to size.

4. Proof of Funds

Overview

You must provide a proof of funds in the form of a bank statement to demonstrate that your financial supporter(s) have sufficient means to support you during your stay in Japan. This requirement ensures that you can cover living expenses, tuition, rent, and other costs without relying on public assistance regardless of if your financial supporter(s) employment situation changes.

Notes

  • The proof of funds must be in the form of a bank statement or official letter. Stocks, bonds, mutual funds, or other nonliquid investments are not acceptable.
  • Balance amount: The bank balance must be greater than the expected costs for one year (including tuition fees and living expenses). Information about expected living expenses and tuition fees can be found on the Life in Japan page and Tuition & Scholarships page.
    Please see the below for expected annual costs (tuition and living expenses) for students without scholarships. However, meeting these amounts does not guarantee the issuance of the COE for the student visa.

  • Official copy: The document must be an official bank-issued document certifying the balance amount and stamped or signed by bank staff. Electronic signatures are accepted. Printed out copies of digital bank statements are not accepted.
  • The Proof of Funds may be issued in any currency, however the balance should be shown numerically and in a “thousands separator” method (i.e one million is 1,000,000.00).
  • Students receiving a scholarship from KUAS may have reduced balance requirements.

5. Proof of Income

Overview

In addition to the Proof of Funds, you must provide a Proof of Income to demonstrate that your financial supporter(s) have sufficient income to continuously support your stay in Japan without relying on public assistance or income from a part-time job. This document should typically be an official letter from your financial supporter(s)’ employer(s) verifying their income.

Notes

  • The document should be signed by hand by a superior, human resources member, or person in charge of payroll.
  • In general, a salary or dividends from investments are considered as income. Interest income or unrealized capital gains are not acceptable sources of income.
  • The income amount shown must be either monthly or annual income and the document must specify whether the amount is monthly or annual.

Special Situations

  • Self-employed: In the case that your financial supporter is self-employed, documentation proving the total earning amount such as a notarized tax return or notarized earnings statement must be provided.
  • Rental income: If your financial supporter is receiving income through renting out property, please include a notarized copy of the rental agreement. The monthly or annual rental amount and the dates of the period of the contract must be shown on the agreement.
  • Retired: In the case that your financial supporter is retired and receiving a pension, notarized documentation proving the monthly or annual amount of pension income must be provided. If your financial supporter is retired and not receiving a pension, then they are considered as receiving no income (see next point).
  • No income: In the case that your financial supporter has no regular income, then Proof of Income is not required. However, in this case the Proof of Funds balance must equal or exceed total tuition fees and living expenses until graduation.

6. Proof of Employment

Overview

You must provide proof that your financial supporter’s employment matches the information submitted in the COE Information Form. This document should be printed on official company letterhead and physically signed or stamped by a superior or a member of human resources.

Notes

  • If monthly or annual income is shown on the document, then this document may also be used for the Proof of Income.
  • The document must include your financial supporter(s) name, job title, and date of employment at minimum. The date that the document was issued must also be clearly stated.
  • Self-employed: In the case that your financial supporter is self-employed, you must submit proof that the supporter is operating an officially registered business by submitting business registration documents showing the financial supporter’s name.
  • Retired or not employed: In the case that your financial supporter is retired or not employed, Proof of Employment is not required.

7. Proof of Relationship (to your financial supporter)

Overview

You must submit an official document such as a birth certificate, family registry or notarized letter of financial support by your supporter that serves as proof of relationship for your COE application.

Notes

  • Format for official documentation will vary between countries.
  • Multiple documents may be necessary to completely prove the relationship to the financial supporter.
  • For example, if the supporter is your sibling’s partner the following documents would be required:
    1. Family registry to prove your relationship to your sibling
    2. Marriage certificate to prove your sibling’s relationship to their partner.
  • If the supporter is not a family member or the relationship cannot be proved through a birth certificate or family registry, a notarized letter explaining their relationship to you along with their intent to support you financially will be required.

8. Proof of Scholarship (if applicable)

Overview

For students who will receive financial support from a non-KUAS scholarship must provide documentation proving the scholarship.

Notes

The document should include the name of the recipient, name of the scholarship organization, scholarship amount and period you are receiving the scholarship. You do not need to submit this document if the scholarship you are receiving is from KUAS.

Example

Ⅱ: International Students Currently Living in Japan or with Japanese Nationality

You must complete the Application for COE (Certificate of Eligibility) and Online Document Submission Form to share Admissions-related documents even if you do not have to apply for a COE. Please select the response on the Form matching your situation for the first question.

You already possess a student residence status

WARNING: If you are currently attending a school in Japan and will graduate more than 3 months before your enrollment begins at KUAS, you must either change to a different residence status (dependent, designated activities, etc.) or return to your home country and apply for a new COE to reenter Japan. Please follow the directions in Section I: International Students Relocating from Overseas for applying for a new COE.
Enrollment at KUAS begins September 16th. 3 months before the enrollment date is June 16th.
The below applies only to students who will graduate within 3 months before enrollment at KUAS.

If your student residence status will expire before you enroll at KUAS

You must renew your residence card before coming to KUAS. Please carry out renewal procedures at the closest Immigration Office to where you currently live by yourself. You will need to submit a Letter of Admission to KUAS, which will be sent upon receipt of the 2nd Admission Fee. In addition, your local Immigration Office may require other documentation with your application. Please confirm directly with Immigration Services yourself for other documentation and prepare your application in advance.

If your student residence status will expire LESS than 6 months after enrolling at KUAS

You do not need to renew your residence status before coming to KUAS. After enrolling at KUAS, the International Liaison Office will assist you in renewing your residence card. Please prepare the following documents:
1. Academic transcripts from previous school or educational institution attended
2. Certificate of Graduation from previous school or educational institution attended

If your student residence status will expire MORE than 6 months after enrolling at KUAS

You do not need to renew your residence status before coming to KUAS. After enrolling at KUAS, the International Liaison Office will assist you in renewing your residence card. Please prepare the following documents:
1. Academic transcript from the first semester at KUAS
2. Certificate of enrollment from KUAS

Additionally, if you had student residence status before entering KUAS and were sponsored by a different institution, you must notify Immigration Services within 14 days after enrollment at KUAS that you have changed your host institution.

You have any of the following residence statuses: Permanent Resident, Dependent, Long-term Resident, Designated Activities

You do not have to apply for a COE if you hold any of the above residence statuses. However, certain outside scholarships require you to have student residence status to be eligible. If you would like to change your residence status, please contact the KUAS International Liaison Office so that we can assist you with procedures.
